NGO fleet allocation, fuel records and maintenance planning

How can an NGO evaluate fleet software around a real project journey?

Waypoint connects a vehicle, project, base and workspace driver with trip planning, fuel and mileage records, inspections and maintenance work orders. Evaluate the complete journey from allocation to return, then review the resulting logbook using consistent distance units and currencies.

A practical example

A fictional NGO has three vehicles at two bases. One vehicle has an open work order, another has a conflicting trip and the third is available for a project visit. The coordinator must choose a valid assignment, record the journey and explain the fuel and maintenance entries to the project manager.

What matters most in this setup

  • Connect the allocation to its project, base and responsible driver.
  • Expose conflicting trips and recorded service or inspection warnings.
  • Keep completed distance and costs grouped by their actual units and currencies.

A useful demonstration, step by step

  1. Prepare a small synthetic register with vehicle identifiers, bases, drivers, distance units and service information. Review a CSV sample if you plan to import existing vehicles; inspect the preview and duplicate handling before saving.
  2. Open a vehicle's logbook and create a representative booking window. Try a conflicting vehicle or driver assignment and a vehicle with an open maintenance work order. Confirm how the coordinator reviews the resulting exception.
  3. Follow departure and return using consistent opening and closing odometer readings. Review the completed distance and the treatment of a trip still in progress. A manually reported vehicle location is separate from this journey record.
  4. Enter a fictional fuel receipt and maintenance event, retaining the original currency and date. Review the filtered logbook and totals. A work-order estimate, completed cost and fuel purchase describe different facts.
  5. For a paper workflow, inspect the vehicle's printable sheet and review a synthetic photo-capture example. Check the source against the proposed extracted values before confirming anything. The public demonstration simulates extraction and does not validate real handwriting accuracy.
  6. Run the pilot in the intended working language and time zone. Review the same workflow with the local team in Africa, MENA, the USA or South America, and agree connectivity, device and support arrangements before adding operational data.

Check before you commit

  • Project and driver access
  • Duplicate registrations and reviewed imports
  • Overlapping trips and open work orders
  • Departure and return odometers
  • Currency and distance-unit separation
  • Paper-source review and duplicate journey handling
  • Local operating procedures and support scope

Fleet submissions need an online connection. Waypoint's separate offline field forms do not make the fleet logbook an offline dispatch system. Recorded availability does not certify roadworthiness; vehicle locations are manually reported, without GPS telematics, fuel sensors or automatic route optimisation.

Buyer questions, answered

Can NGO fleet costs in different currencies be added together?

Keep the recorded currencies separate unless the organisation has an agreed conversion source, rate and reporting date. Waypoint groups recorded costs by currency and completed distance by unit. A comparison that silently combines currencies or kilometres and miles can make a vehicle appear cheaper without a meaningful common basis.

Does the offline field kit include fleet dispatch?

Fleet submissions currently require an online connection. The separate Field kit supports specified forms and drafts after online preparation, with delivery confirmed after reconnecting. Test the exact task and device needed by the team rather than applying a general offline claim to every Waypoint feature.

What should a paper fleet sheet review establish?

Compare the vehicle, driver, journey times and odometer readings with the source images. Review uncertain or missing values explicitly and check whether the journey was already recorded. The supported photo workflow proposes values for human confirmation; the public demonstration uses synthetic extraction and cannot establish accuracy on the NGO's own handwriting.

How should an NGO compare recorded fleet availability with actual readiness?

Review the register's warnings, open work orders, trips and latest recorded inspection alongside the organisation's physical and procedural checks. The software can flag recorded conflicts but cannot establish the vehicle's current condition independently. Keep the responsible coordinator and local operating procedure in the pilot acceptance criteria.
