Use a representative occasion to test enquiry ownership, the booking diary, venue details and the handover to the team delivering the event.
Define the stages before opening the diary
VCMP Encore handles guest enquiries, bookings, a diary and team run sheets. Begin with a representative occasion using made-up guest information. Map the steps between first interest, a confirmed booking and arrival, including the person who owns each handover and the details that must be agreed before the status changes.
Bring the venue's actual booking types, areas, group sizes and payment requirements to the demonstration. Check how the diary represents shared spaces or alternatives, and identify the guest communication and confirmation record the team needs to rely on.
Build the run sheet the floor team will use
Create a sample day's run sheet with the fields needed for access times, guest-count changes, room or area setup and the latest agreed details. Review who can update it and how the team distinguishes a current handover from an earlier version.
Encore is the venue-booking product. My Venue covers screen content and playlists, while SOLO POS covers counter sales. Any deposit, communication-provider, till handoff or migration requirement should be confirmed and tested in the agreed scope rather than assumed from the shared product family.
Your evaluation checklist
- Map enquiry, confirmation, booking and event-day stages with a named owner for each handover.
- Test the diary using your real areas, booking types and a fictional guest record.
- Build a run sheet with the fields the floor team needs on the day.
- Confirm deposits, communications, migration and any till or screen handoff separately.
